Leaving Comments
You’ll receive an email 45 days before the week of an employee’s anniversary regarding a yearbook creation period. Before the yearbook is finalized, you will be able to add your comments. You’ll also be prompted to enter email addresses for other people the recipient would like to hear from. If you’re not sure who to include, consider the following options:
- If the recipient is new to your department, ask a previous supervisor or manager to contribute to the yearbook and provide colleagues who can participate
- Ask the recipient if there’s anyone they’ve worked closely with or any family members or friends who might be interested in adding comments or photos.
- Include other members of your Penn State team.
Add the emails for the names you have collected and invite them to leave comments and contribute photos.
- All contributions to the physical yearbook close 20 days after managers receive the initial invitation email from OC Tanner, to allow for printing and sending time. Please do your best to provide the list of emails of other contributors as soon as possible to give everyone ample time to submit their comments.
- If anyone misses that deadline, their comments and photos can still be submitted. They will, however, only be included in the digital copy of the yearbook.
- Craft a quick note honoring your team member’s contributions to Penn State and their impact on your team. If you need help thinking of things to say, a guide to commenting is included in this program and suggestions and tips will appear in the interface.
While not required, you have the option to upload photos and videos from past events or a video congratulating your team member personally for their hard work and dedication to Penn State.
The comments will be automatically pulled into the yearbook and sent to the recipient.
Monitoring Content
Once you and other colleagues have left comments on your employee’s anniversary yearbook, the content will go through a review process before publication.
Because other coworkers and, potentially, friends or family are able to submit photos and notes to a yearbook, there is a risk that some comments may not align with Penn State values or fall within the realm of appropriate workplace comments.
Before the yearbook is finalized, comments will be automatically reviewed to identify inappropriate words or phrases. Employees in Penn State Human Resources have the additional option to review activity and ensure submissions are appropriate.
